Who this applies to
This notice explains how Quiet Rain Meadow, 4-17-10 Higashimachi, Yonago, Tottori 683-0067, Japan, handles personal information when you read this website, write to us by email or through the contact form, or come to the practice for a session. We have kept it in everyday language; if any part of it is unclear, write to hello@quietrainmeadow.com and we will explain.2
What reading these pages involves
Browsing the site does not ask you for any personal details. There is no account, no login, no online shop and no comment box. The pages use fonts and pictures stored with the pages themselves, and we load no scripts, pixels or maps from other companies, so the site does not report your visit to any advertising or analytics service. Whoever hosts the site may keep ordinary server logs (such as the time of a request and an IP address); we do not use them to find out who you are.3
What you send us
When you write by email or use the contact form, we receive what you chose to write: usually your name, your email address, a phone number if you add one, and your message. The form does not send anything by itself. When you press Compose email, your own email program opens with a ready-made message, and it reaches us only when you send it from there. The website stores nothing that you type.4
Health information
Please do not send a detailed medical history by email. To arrange a session we only need to know your preferred day, the session length and anything we should take care about, such as an injury or a recent operation. Information about your health is sensitive. We use it only to decide whether and how a session can go ahead, and we may ask you to check with your doctor first.5
How we use it
We use what you send to answer your question, to arrange and confirm an appointment, to keep the short notes that spare a returning visitor from explaining everything again, and to keep a basic record of payments for our accounts. We do not use it for advertising, we do not put you on a mailing list, and we do not sell or rent it to anyone.6
Session notes
If you come for a session we keep brief notes between visits: the date, the session length, what you asked for and anything you told us to take care of. They exist for your next visit and for nothing else. You can ask to see your notes, to have them corrected or to have them destroyed.7
Cookies and similar technology
We load no analytics tools, advertising tags or social-media widgets, and we set no tracking cookies. The only thing saved in your browser is one small cookie named anfy with the value yes. It is created when you press the button on the notice at the bottom of a page, it lasts about 400 days, and it only remembers that you have dismissed the notice. It holds no personal data and you can delete it at any time in your browser settings, after which the notice appears again. The site does not use local storage or fingerprinting.8
Sharing with others
We do not pass your information to other companies. The only outside party involved is the email service that carries our messages, which handles them solely to deliver and store our mail. We would disclose information to anyone else only if the law requires it or if you have asked us to.9
How long we keep it
Emails and session notes are kept while we are dealing with you and for up to three years after the last exchange, after which they are deleted. Basic payment records may be kept longer where our accounting duties require it.10
Keeping it safe
Emails are kept in an ordinary, protected mailbox and never on the website itself, and only the people who answer enquiries can open them. No system is perfectly secure, so please keep anything highly personal out of your emails.11
Your rights
Under Japan's Act on the Protection of Personal Information you may ask us to tell you what personal information we hold about you, to correct it, to stop using it or to delete it. Write to the address below. So that your details never go to someone pretending to be you, we may ask you to confirm who you are first, and we answer without undue delay.12
Changes to this notice
If we change this notice, the new text replaces this page. Nothing in it limits any right you have under Japanese law.13Contact for privacy requests
